Job Description


Position: Human Resources AssistantQualification/Skills: Diploma/Degree in Human Resources Management/Business Management/AdministrationWork related experience: 2 to 3 years of experience in HR related functionsLocation: Senai, JohorRoles and responsibilities
1 Process and monitor monthly rental, utilities, dormitory fees and other invoices related to the dormitories
2 Monitor dormitory tenancy agreements renewals
3 Arrange regular audit inspection in the dormitory
4 Monitor dormitory cleanliness, damage items, safety issue and others related matters
5 Update the dormitory occupants listing
6 Assist in room arrangement for the new workers
7 Assist to send the workers to the hospital or clinic if they are sick especially after office hours
8 Process monthly security guard invoices
9 Communicate with security company for any issues related to the security guards
10 Monitor and checking security guard log book and monitor the security clocking activity
11 Update the security guard team regarding the holidays or plant shutdowns Company
12 Update the security guard team for any contractorsxe2x80x99 work during the company shutdown
13 Monitor the parking inside the company
14 Arrange the newcomers for bank account opening
15 Assist the workers for replacement of bank card for damage or lost CIMB Bank card.
16 Communicate with the Bank for any blocked or scamming activities and assist the worker to lodge police report.
17 Assist in arranging the workers to go to Bank to update their passport and permit information
18 Assist in the arrangement of migrant workersxe2x80x99 passport and permit matters
19 Prepare the travel document (surat jalan) if the migrant worker is travelling.
20 Monitor the workers uniformsxe2x80x99 stock and distribute the uniforms to workers accordingly (Yearly and for replacement)
21 Keep up the in and out record for the uniforms
22 Request to make purchase orders for the uniforms
23 Arrange the lockers for the new workers.
24 Monitor the lockers of the workers.
25 Arrangement of duplicate keys for the workers who lost their locker key
26 Inform workers to return back Uniform and Locker Key upon resignation or end contract.
27 Purchase of flight ticket for the expatriates based on requested date, time, type of flight and weight of luggage
28 Send the flight details to the expatriates via email
29 Monitor invoice of travel agents for expatriates
30 Announce workers regarding upcoming event as well as updated rules and regulation of the company.
31 Monitor CCTV from time to time
32 Provide the requested CCTV footage by the management
33 Monitor foreign worker attendance for the monthly invoices
34 To check and update the renewals of the agreements for the expatriatesxe2x80x99 housing and cars
35 To assist the Managing Director in processing the claims
36 To assist the Managing Director in terms of administrative functions
37 To prepare the memo related to the official announcements
38 To update the SOCSO portal
