Vacancy Description Property Investment has four major real estate assets and 39 other smaller ones. The lease documentation for all these assets need to be coordinated, guarded and monitored closely by a strong Tenancy Admin team headed by an experienced Tenancy Admin Head to ensure integrity and accuracy of documentation. This is a Group Level role. Tasks & Responsibilities 1. Centralized Tenancy Admin Support and co-ordination a) Review and approve all lease documentations b) Update, upkeep and generate all relevant tenancy documents (LOO and Tenancy Agreements) c) Prepare all required correspondences for the department d) Track all legal documentations and renewals e) Maintain proper filing system 2. Liaise with Leasing staff to ensure smooth execution of lease processes and operations and ensure all documentations are complete and in accordance to SOP. 3. Coordinate and communicate with internal and external lawyers and tenants on all tenancy administrative process to ensure that Tenancy Agreements (TA) are duly executed, stamped and delivered which includes review and recommendation of special condition, changes in clauses and any legal amendments. 4. Update tenancy details in the property management system in a timely manner and ensure that data are accurate. 5. Administer POS integration with centres and tenant GTO collection, generate tenant sales report and occupancy cost ratio for management analysis. 6. Liaise and update Finance Department on all Tenancy Agreements (TA) documents and payments. 7. Assist in managing the daily operations of the leasing department. 8. Liaise with internal and external lawyers and Credit Control department on all legal related matters to the tenancy. 9. Handle confidential and sensitive materials discreetly and multi-task under tight timeline. 10. Carry out any other duties as and when instructed by the Management from time to time.
