Job Description


Requirement: Bachelor\'s degree in project management, Engineering, or IT. Fresh graduates are welcome to apply Eager and keen to learn with a strong commitment to professional development. Able to start in January 2024 Skills: Strong communication and interpersonal skills. Detail-oriented with excellent organizational abilities. Ability to work collaboratively in a team environment. Basic understanding of project management principles is a plus. Employment Term: Permanent Based: HQ Office Petaling Jaya, Selangor Project Management Office (PMO) Executive Project Management Executive: Plan, initiate, and manage projects, coordinating resources, schedules, and activities to ensure project goals and objectives are achieved within defined parameters. Implement project management methodologies, defining project scopes, objectives, and timelines, and overseeing the project lifecycle from initiation to closure. Assess project risks and issues, developing mitigation strategies, and providing regular project status reports to stakeholders. Project HSE Liaison and Compliance: Involve with Health, Safety, and Environment (HSE) strategies, ensuring adherence to regulatory standards, performing risk assessments, and implementing safety measures. Collaborate with cross-functional teams to develop and maintain effective HSE protocols and incident response plans. Executive Assistant to the CEO - Special Projects: Manage the CEO\'s calendar, facilitating prioritization of inquiries, resolving conflicts, and ensuring efficient day-to-day engagements. Act as a liaison for the Board of Directors, organizing and overseeing board meetings, drafting agendas, and recording meeting minutes. Engage in special projects, producing comprehensive reports, presentations, and documents to support the CEO in decision-making processes and strategic initiatives. Executive Team Coordination and Management Representative: Coordinate Executive Team meetings, preparing meeting agendas, tracking action items, and ensuring effective communication and collaboration among team members. Manage ISO 9001, ISO 45001, and ISO 14001 standards, ensuring compliance, conducting audits, and leading initiatives for continuous improvement. Operational Efficiency and Continuous Improvement: Identify and implement process improvements within the organization, collaborating with department heads to optimize operational efficiency. Spearhead initiatives to meet operational objectives, such as cost reduction, energy conservation, safety enhancement, and environmental sustainability. Documentation or Document Controlling System: Lead the project for establishing an efficient, sustainable Documentation or Document Controlling System across the organization, aligning with environmentally friendly practices. Establish and maintain a systematic document control system, ensuring accessibility, accuracy, and compliance with industry standards and regulatory requirements. Design and implement efficient archiving and retrieval protocols for critical documentation. Develop document management policies and procedures to optimize the organization\'s document lifecycle and control mechanisms. Administrative Duties: Complete a broad variety of administrative tasks that facilitate the CEO\'s leadership, including special projects, complex document production, report generation, and travel arrangements. Serve as a \'barometer,\' staying informed of environmental issues, anticipating CEO\'s needs, and maintaining open communication with department heads. Information Systems Management: Manage information systems operations, hardware, software, and strategic systems development, providing leadership to meet the organization\'s information needs. Corporate Affairs and Communication: Serve as the primary point of contact and liaison for Top Management in engaging with internal and external parties. Manage corporate communication and affairs, including report writing, presentation preparation, and document management. ERP System Usage: Utilize the RAMCO ERP system for various administrative and operational activities. Travel and Site Visits: Be available for travel and site visits as required. Ad Hoc Responsibilities: Perform any other duties as required and assigned. Others Conduct all necessary duties to ensure that the annual objectives set by the Management is achieved; To perform any other duties and tasks that are assigned by the management. To implement, maintain and comply with Company Integrated Management system Policy, procedures and relevant requirements of ISO 9001 :2015 Quality Management System, ISO 45001:2018 Safety & Health Management System and ISO 14001:2015 Environmental Management System; ISO 45001:2018 Safety & Health Management System Comply with the OHSAS management system procedures, this includes; Responsible for facilities management Conducting & following the standard procedure of Safety committees/safety teams. ISO 14001:2015 Environmental Management System; Required to implement the health and safety management system (EMS) mainly training, policies, objectives, and preventive action. To comply & maintain with the EMS systematic framework to manage the immediate and long term environmental impacts of an organization\'s products, services and processes.
