ESSENTIAL DUTIES AND RESPONSIBILITIES

Management

  • Oversee small job from beginning to end (request creation, scope development, approval stage, execution, field completion, billing, reconciliation, closure)
  • Involvement of scope discussion and alignment between client, FM and Vendor Ops Centre (VOC)
  • Access risk exposure and alignment with AMS team on classification of projects (SJ vs D&C)
  • Obtain additional approval from stakeholders where required
  • Ensure all project deliverables are received in a timely manner
  • Administer working of project team in all phases of small job
  • Engage stakeholders to adhere to global process and serve as gatekeeper
  • Monitor execution schedule and ensure compliance and assist to resolve all issues in functional processes with the areas involved
  • Maintain knowledge of all team members of project team or contract support and manage all communication with staff ongoing process and discuss same with clients
  • Administer and manage all mitigate risk and prepare report for all project goals and ensure adherence to budget and prepare all documents as per customer requirement
  • Provide training to all client and peers on projects and maintain subject matter expert on the same
  • Prepare and submission of commercial proposal in accordance with the global process
  • Excellent record keeping tracking all proposals submitted
Client Care / Customer Service
  • Action request submitted by client or business unit through client\'s small job tool weekly / bi-weekly client meetings
  • One to one communication on project status
  • Accurate submission of proposals, invoices for client\'s approval
  • Proposal submission maximum to 5 days unless client advised
  • Educate client on Global process when needed
  • Provide information, accurate reporting, and monthly forecast to support client\'s accrual and budget planning
Audit Control
  • Maintain knowledge of client global process
  • Adhere to project timeline and approved budget
  • Evaluate and prepare reports for client and internal areas as needed
  • Documents all records of event and issues of ongoing small jobs and monitor all projects to ensure alignment to all project goals and identify all potential issues and assist in resolution of same
  • Document all interactions and related to any auditable control point
  • Ensure all project deliverables are received in a timely manner and prepare recurring billing as required by finance
  • Rely on client\'s tool and reports (LSQ, billing reports, conference rooms, email addresses, processing platform)
  • Keep system usage current and maintain education and knowledge through the tools provided by client
  • Be accountable for entire process and project under one\'s name
  • Own and ensure accurate and timely billing submission as required by the MSA
REQUIREMENTS
  • Bachelor\'s degree (BA/BS) from 3 years college or university
  • Experience in construction is an added advantage
  • Excellent written and verbal communication skills, Strong organizational and analytical skills.
  • Ability to provide efficient, timely, reliable, and courteous service to customers. Ability to effectively present information
  • Ability to comprehend, analyse and interpret complex documents. Ability to solve problems involving several options in situation.
  • Strong process skills, negotiating, decision making, and analytical skills are necessary.
  • Demonstrated ability in project management processes, tools, and techniques
  • Ability to build and maintain effective professional / client relationships
  • Intermediate skills with Microsoft Office Suite including MS Project
  • English proficiency (Experience with international engagement preferred)
  • Good interpersonal skills, enthusiastic, adaptable, study abroad and eager to learn
