Ensure office and pantry areas are clean and stocked.
Track and manage office supply inventory.
Arrange repairs for office equipment (e.g., coffee machine, grease trap).
Ensure timely renewal of licenses and permits (e.g., business, fire extinguisher permits).
Assist with purchasing, following procurement guidelines.
Supervise office cleaner to meet company standards.
Train backup receptionist for front desk duties.
Share building management updates with staff, and coordinate office closures/testing with the Office Manager and IT.
Address EMS alerts (e.g., water leaks) by coordinating repairs.
Report site management issues to the Office Manager.
Follow safety and security protocols, and communicate with HSE and Security.
Handle phone calls, direct visitors, and respond to general inquiries.
Sort and manage mail, courier, and deliveries.
Issue permits and access cards for contractors and visitors, with records.
Review expenses for pantry supplies and stationery quarterly.
Job Requirements:
Degree / Diploma in Business Admin, or related field of study.
At least 3-4 years of experience in office administration and receptionist roles within a corporate environment.
Meticulous, organize, and with pleasant personality
Proficient in MS.Office
Proficient in English communication
Must be able to prepare report by using Ms.Excel
Confident, multitasking and presentable
