Sales & Admin Coordinator

Job Description

The Sales & Admin Coordinator supports the Singapore & Malaysia commercial team by managing sales administration, customer coordination, documentation, and logistics. This role is critical in ensuring smooth day-to-day operations for ophthalmology, medical aesthetics, surgical consumables, dermocosmetics, and related product lines.

Key ResponsibilitiesSales Support



Prepare quotations, price lists, sales orders, and assist in tender submissions. Support sales activities such as demo scheduling, KOL appointments, and product trial coordination. Maintain sales pipeline, forecasts, inventory usage, and customer databases.

Customer Coordination



Act as main contact for clinics, hospitals, and procurement teams. Respond to enquiries on deliveries, quotations, product information, and service support. Assist with warranty claims, returns, and consumable replacements.

Administrative & Logistics Support



Prepare delivery orders, packing lists, and coordinate with 3PL/logistics partners. Track inbound shipments, customs clearance, and local delivery schedules. Maintain internal documentation, filing systems, and SOP compliance.

Finance & Reporting Support



Assist with invoicing, billing, and tracking outstanding payments. Prepare costing sheets, shipment charges, and landed cost summaries. Update monthly sales reports, inventory tracking, and KPI dashboards.

Qualifications & Experience



Diploma/Degree in Business, Supply Chain, Admin, Marketing, or related field. 3 years of experience in sales/admin/logistics; medical industry experience preferred.

Skills & Competencies



Strong communication in English & Bahasa Malaysia; Mandarin is an advantage. Proficient in MS Office/Google Workspace; CRM/ERP experience is beneficial. Strong organisational skills, accuracy in documentation, and ability to multitask.

Responsible, proactive, detail-oriented, and customer-focused. Able to work independently in a fast-paced environment with multiple product lines. Team player with strong follow-up discipline and problem-solving ability.
Job Type: Contract
Contract length: 12 months

Pay: RM2,800.00 - RM4,300.00 per month
