plays a key role in supporting the sales team and ensuring smooth operational processes from order confirmation to delivery. This position is responsible for coordinating with internal departments and external partners to ensure all orders are processed accurately and efficiently after being received from the Sales Representatives.
Key Responsibilities:
Receive order from Sales Representatives and verify order details (product code, quantity, price, delivery terms, and payment terms).
Input sales orders into the company's accounting or sales management system accurately and promptly.
Coordinate with the
warehouse team

purchasing team
to ensure sufficient stock or arrange purchase orders with suppliers when needed.
Communicate with
logistics and warehouse teams
to plan and schedule shipment or delivery.
Prepare all necessary shipping documents such as
delivery orders, packing lists, invoices, export documents, and customs paperwork
(if applicable).
Handle amendments or changes to orders (e.g., quantity adjustments, delivery rescheduling) and ensure all records are updated.
Track order progress from confirmation to delivery and update all stakeholders on order status.

Communicate order status, delivery schedules, and any issues to sales staff and customers.
Maintain accurate sales records and documentation in the system.
Assist in preparing quotations, invoices, and related sales documents when needed.
Liaise with suppliers and shipping agents to track orders and resolve discrepancies.
Support the Sales Department in daily administrative and operational tasks.
Qualifications & Requirements:
Diploma or Bachelor's degree in Business Administration, Supply Chain, or related field.
Minimum 1-3 years of experience in sales coordination, trading, or logistics operations.
Strong communication and coordination skills.
Proficient in Microsoft Office (Excel, Word, Outlook)
Detail-oriented, organized, and able to multitask in a fast-paced environment.
Team player with a positive and proactive attitude.
Proven work experience as Operations Manager or similar role
Leadership ability
Required skill(s): Microsoft Office and basic accounting knowledge.
Required language(s): English, Bahasa Malaysia, and Chinese.
