Position TitleSenior Executive, Administration and GovernanceReports ToManager, Stakeholder Management and Administration & GovernanceRole PurposeThis position is accountable to operationalize, organize, coordinate and administer the end-to-end administration and governance of employee related processes by diligently adhering to company policies, procedures, and statutory mandates to ensure sound governance is always uphold and to ensure the accuracy and confidentiality of employee\'s database. This role is also accountable to drive process improvement and innovation at workplace to continuously improve the service delivery and employee experience.Key Accountability

  • Be the Subject Matter Experts (SMEs) and keep up to date on current GHC Corporate Policy and relevant statutory bodies\' policies to provide a valuable insight to process owners and enhancing customer experience during collaborations with key stakeholders and initiate process improvement leveraging on automation and digitalisation.
  • Organize a seamless end to end employee data throughout entire employee lifecycle while maintaining the data integrity by ensuring the completeness and accuracy of employees\' data during various updates and assist to provide accurate analysis on the employee information to support the accuracy of the decision making by stakeholders in various aspects of manpower planning, resource management, performance management, learning & development, disciplinary management and salary updates.
  • Lead the end to end processes of employee welfare and point of contact with regards to internal and external employee queries and ensuring cases are attended on timely manner.
  • Define and manage SLA with stakeholders and act as the custodian of document and data base to comply with the regulatory and legal requirement.
  • Organisational Design Update - Maintain the systems and processes for the administration of job creation, job evaluation result and change in an organizational structure design by ensuring the data manage timely and accurately.
  • Security - Supervise the acquisition of security clearances and coordinates the processes of visitor requests for access to security facilities.
  • Lead the accounting support request from GHC by validating and approving the data of Purchase Order, Purchasing Requisition & Good Receiving via SAP Platform.
  • Manage the confidentiality of the employees\' inflow of data from various sources and ensure data is centralised and accurately maintained throughout the entire employee\'s life cycle.
  • Manage HC Platform (Service Now, HRCC Mailbox, HREA Mailbox) - Lead and advice the team in handling and managing employees\' inquiries or grievances and ensure timely respond are provided to employees.
  • Proactively identify and evaluate knowledge gap among team members and identify suitable avenue to mitigate the knowledge gap internally or externally.
  • Manage and collaborate with vendor and Immigration Department of Malaysia to ensure that foreign workers are legally allowed to work in Malaysia and the Company.
  • Manage the coordination of productive networking with external key stakeholders such as the regulatory bodies (EPF, SOCSO, LHDN) to gain latest insights and best practices with regards to managing employee\'s life cycle lawfully and diligently.
Qualification & Experience
  • Degree in Business Administration or other fields related to Human Resource, Finance, Communication, etc. .
  • Experienced as HR Generalist/Specialist, with more than 3 years of experience and 1 year in supervisory role directly and indirectly.
