POSITION SUMMARY
The HR Payroll & Benefits Generalist is responsible for payroll and benefits administration, and employee benefits programs. Responsible for having overall knowledge of all human resource functions and as a key liaison for onboarding and offboarding process within the organisation. Promotes and maintains the organization values and culture by providing exceptional communication and service to employees. Sets the example of an engaged employee and supports employee engagement throughout Tec D & Tec D Distribution Malaysia.
This position has no direct report (s) and is an individual contribution role reporting into the Senior HR Manager, Malaysia.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
1) Payroll Administration (50%)
Is the payroll expert, responsible for payroll and statutory deductions accuracy. Makes recommendations for payroll related policies.
\xc2\xb7 Responsible for timely, accurately, and compliantly processing the consolidation of monthly payroll data and statutory payment (LHDN, EPF, SOCSO, EIS,ZAKAT, PTPTN) and bonus allocation for TDD & TD.
\xc2\xb7 Payroll Software experience in Timesoft, SAP and Concur is an added advantage. Develops in depth understanding and champions the user interface of the payroll software and HRIS.
\xc2\xb7 Audit and process payroll documents.
\xc2\xb7 Process employee data for new hires, changes, termination, additional earnings, etc.
\xc2\xb7 Prepares and maintain employee files, assuring accuracy, compliance, and confidentiality.
\xc2\xb7 Responsible for month-end duties including processing HR related invoices and ensuring timely payment, submitting Payroll summary report to finance payroll accrual (Bonus & Leave accruals) and general ledger reconciliation.
2) Benefits Administration (40%)
As the Employee Benefits expert, administers all employee benefit programs such as medical, dental, optical, wellness and other regional programs.
\xc2\xb7 Employee On-boarding: Coordinate the onboarding formalities for the new employee which includes benefits enrollment, company forms, tax forms, IT and Administration formalities.
\xc2\xb7 Letter Generation: Issue confirmation, Offer and termination as required. Ensures that employee forms and updates new joiners/resignees on Timesoft.
\xc2\xb7 Employee Service: Assists employees regarding benefits claim issues and plan changes. Responds to benefits inquiries on benefits enrollments and status changes. (e.g. medical, insurance, leaves, attendance management).
\xc2\xb7 Expat Management: Coordinate EP Renewal, EP Cancellation, Passport endorsement and initiate bank payment when required.
\xc2\xb7 Vendor Management: Works with Senior HRBP for escalated support needs, including but not limited to: plan design, claims administration, appeals and HRIS data integrity.
\xc2\xb7 Employee Education: Prepare and setup meetings designed to help employees obtain information and understand company benefits.
\xc2\xb7 Wellness & Plan design: Work with the Senior HRBP to organize wellness events and provides resources for employees. Establish initiatives and programs that help employees attain optimal health. Works with insurance provider to conduct annual benefits review.
\xc2\xb7 Data Integrity: Ensures the accuracy of all benefit enrollments and provide vendors with accurate eligibility information. Updates HRIS database with new and changing information; ensures accuracy and integrity of information. Responsible for employee benefit file maintenance and storage retention requirements.
3) General HR duties (10%)
\xc2\xb7 Participate in the new employee onboarding experience.
\xc2\xb7 Provides benefit support to HR partners (vendors, team members, management).
\xc2\xb7 Develop in-depth understanding of HRIS and all vendor enrollment systems and websites
\xc2\xb7 Ensure all required reporting, forms, and posters are up to date and maintained accurately.
\xc2\xb7 Participates in developing Human Resource department goals, objectives, and systems.
Participate in Team Meetings and provides backup of duties for HR Team
