Vacancy: Senior Admissions Executive Industry: Education Location: Seri Kembangan Salary (basic): RM4,000 to RM6,000 Benefits: 5-day week, 25-days annual leave, medical coverage for family, coverage for insurance & PA, etc Job Type: Permanent KEY RESULTS AREAS/ RESPONSIBILITIES 1. Student Enrolment Directly responsible for the entire end-to-end admissions process including but not limited to: a. Identify, prioritize and ultimately convert marketing leads into student enrolment. b. Promote the school and enroll students through different channels. c. Co-ordinate school tours and visits, demonstration lessons and any other promotional activities. d. Liaise with parents on admission enquiries. Facilitate parent meetings with school staff - ensuring an enquiry proforma is completed. e. Coordinate application and placement testing for prospective students. f. Field all enquiries that are made to the Admissions Office. g. Maintain a complete and accurate record of parent/student details and a funnel of all prospective new student intake within the school management system. h. Work with academic and marketing teams to deliver engaging admission propositions with all potential parents and students. 2. Customer/Stakeholder Management a. Counsel and provide advice, guidance on admissions requirements and related issues to prospective and existing parents/students. b. Responsible for all correspondence inquiries, advice on enrolment and provide support to parents throughout the enrolment process. c. Maintain links with the Student Services. d. Ensure that excellent and timely customer service is provided at all times to students, parents and other stakeholders in line with an Awesome Customer Experience (ACE). e. To assist the Heads of Schools, Principal and Marketing Department in the production of promotional materials. f. Outstanding communication and relationship with internal and external stakeholders are established and maintained. g. To work with the Marketing Team and Head of Marketing to manage the customer experience from enquiry to enrolment. 3. Operation Management a. Manage day-to-day administrative activities and maintain operational effectiveness within the Department. b. Ensure relevant policy, procedure and guidelines governing the Admissions Department are in place. c. To advise the Finance Department on the billing of new students and to ensure collection of fees from the new parent are made prior to their child/children starting school. d. To inform relevant departments on the name of students leaving at the end of each term or commencing at the school. e. To Follow-up with families who have served withdrawal notices and arrange for refunds if notice is compliant with the Terms and Conditions. 4. Compliance Management a. Ensure all Admissions Department operations comply with the Malaysian Government/Ministry of Education (MOE) enrolment regulations/guidelines. b. To liaise with the Ministry of Education and relevant Government Departments on matters relating to study permits for Malaysian students or visas for expatriate students. 5. Others a. Provide updates and accurate statistical enrolment reports to the Head of School, Principal and Senior Management as and when required. b. Ensure documentation related to Admissions and Withdrawals are available in a timely manner. c. Prepare student enrolment projections for budget needs as required. d. To attend to other schooling matters as and when requested by the Principal/Head of Operation. III. JOB SPECIFICATIONS A. MINIMUM ACADEMIC/PROFESSIONAL QUALIFICATION 1. Minimum Degree in relevant discipline or equivalent. B. RELATED EXPERIENCE 1. Minimum 3 years of relevant working experience. 2. Have experience working or living in Australia (will be an added advantage). 3. Appreciation and understanding of Australian culture . 4. Ability to represent an Australian brand/product. 5. Have studied or worked in an international school. C. COMPETENCIES (KNOWLEDGE, SKILLS & ABILITIES) 1. Knowledge of and skills in using computer software e.g. Microsoft and Google applications. 2. Knowledge of customer service principles, techniques, and standards. 3. Ability to analyze and interpret the needs of students and offer appropriate solutions. 4. Ability to work with minimal supervision. 5. Strong interpersonal and communication skills with the ability to communicate comfortably with colleagues, students, and parents in a courteous and professional manner. 6. Possess good planning, organizing, coordinating, presentation and time management skills. 7. Creative, resourceful, customer-focused, self-motivated and results-oriented. 8. Spoken and written English is used for all school communications and as such, high standards of English communication skills in reading, writing, speaking, and listening are required to be successful in this position.
