With a focus on making a positive impact, they leverage extensive industry knowledge and are committed to delivering outstanding results, viewing themselves as a partner in success.Our partner is currently expanding the team and is in search of an Admin Support Officer in Kuala Lumpur, Malaysia. The Administration Support role is crucial for maintaining smooth operations within the strata management team. This position involves processing notices, managing data, and responding to inquiries, all of which help ensure effective communication and compliance within the organization.KEY RESPONSIBILITIES

  • Notice Processing: Efficiently process Section 115/22 and Section 119/184 Notices, ensuring compliance with relevant legislation.
  • Query Management: Respond to phone and email inquiries related to Section 119/184 Notices, providing clear and accurate information to owners and stakeholders.
  • Data Entry: Capture and update owner and tenant information in the relevant software systems, ensuring data accuracy and completeness.
  • Redirection Notices: Record redirection notices received from property managers in the applicable software, maintaining up-to-date information.
  • Certificate Distribution: Provide copies of Certificates of Currency to owners as requested, ensuring timely and accurate delivery.
  • Rules Distribution: Send registered Rules to Property Managers for their tenant records, ensuring compliance and proper documentation.
  • Data Management: Enter data from various sources into applicable software, maintaining organized records for easy access.
  • Enquiry Handling: Attend to enquiries from staff, owners, lawyers, and other relevant parties, fostering effective communication and support.
  • Report Compilation: Gather information and compile a \'Books and Records\' report for various agents and buyers, ensuring thorough and accurate documentation.
  • Additional Duties: Perform other administrative tasks as required to support the strata management team and enhance operational efficiency.
  • Collaboration: Work closely with other departments to ensure seamless communication and coordination of administrative activities.
  • Process Improvement: Identify and recommend improvements to admin processes to enhance efficiency and accuracy.
SKILLS, EXPERIENCE & QUALIFICATION
  • Degree in business administration or a related field is preferred.
  • Previous experience in an administrative role, preferably in strata or property management.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficiency in office software and management systems.
