Job Description


  • Preferable candidates with proven experience as Executive Secretary /Executive Assistant.
  • Experience working in the travel industry and/or concierge will be a huge additional point.
  • Good oral and written communication skills: English, Bahasa Malaysia and Mandarin are required (as the role require to deal with Mandarin speaking clients)
  • Willing to work in Georgetown, Penang
  • Enjoy working in a fast-paced environment.

Responsibilities
  • To assist the Managing Director in coordinating meetings, events, business development, personal, and operational matters, and handle internal and external communication.
  • Filter queries, phone calls, dealing with appointments, emails and respond to invitations and other requests for the Managing Director
  • Act as a liaison between the Managing Directors, leadership team, and other departments to ensure efficient and effective work and collaboration.
  • Coordinating closely with relevant departments, managers to ensure that the Managing Director instruction and requirements are met.
  • Perform secretarial, and filing tasks while maintaining confidentiality and security of information.
  • Coordinate travel and accommodation requirements in connection with others and ensure arrangements in place for the Managing Director
  • Coordinate daily schedules and appointments of Managing Director and provide assistance during client engagement activities.
  • Coordinate with various departments and stakeholders on behalf of the Managing Director to facilitate smooth operations.
  • Performs usual office routines, plus assembles confidential material according to instructions, prepares summaries of confidential documents, and maintains confidential files.
  • Ensure the Managing Director environment is organized and conducive to productivity.
  • Handle confidential information with the utmost discretion and professionalism.
  • Adapt quickly to changing priorities and deadlines, demonstrating flexibility and resourcefulness.
  • Provide required assistance and support for other tasks including but not limited to other assigned jobs or special projects.
  • Proactive, pragmatic mindset, innovative and self-driven.
