Job Description

A Human Resources Administrator/Secretary coordinates administrative tasks, offering admin and secretarial support to the Human Resources team while completing projects for the Director of Human Resources - Malaysia, Philippines and Sri Lanka (MPSL) in adherence to Hilton policies and procedures.

What will I be doing?

As the Human Resources Administrator/Secretary, you will be responsible for performing the following tasks to the highest standards:

  • Arrange appointments and meetings for the Director of Human Resources - MPSL, marking it in the calendar accurately and ensuring that the Director of Human Resources - MPSL has the appropriate documents for each appointment.
  • Arrange and coordinate the Director of Human Resources - MPSL schedule, keeping him/her on track for appointments.
  • Assess and organize personal work priorities and assist with organizing the Director of Human Resources - MPSLs' work priorities where possible.
  • Attend and take minutes of HR meetings and other meetings when requested.
  • Assist the Director of Human Resources - MPSL in preparing files, reports, letters, memorandums and other relevant business documentation.
  • File and record all business documents as required.
  • Maintain confidentiality at all times on all matters.
  • Demonstrate essential overall knowledge of the organization.
  • Understand the responsibilities of other sections and departments and cooperate with them.
  • Supporting the hotel with departmental training requirements including inductions, work experience, careers fairs, and training materials
  • Assist with employee relations issues in the hotel in a confidential manner, including disciplinaries, grievances, and capability.
  • Participation as a team player within/inter-departments.
  • Adhere to the hotel's security and emergency policies and procedures.
  • Demonstrate professional attitude and behavior at all times.
  • Prepare and maintain files, reports, letters, memorandums and other relevant business documentation.
  • Ensure all reporting and servicing deadlines are met on a timely basis.
  • Maintain an accurate tracking system for prompt handling of issues concerned.
  • Order and maintain adequate stock of office supplies, initiate necessary requisition for approval of the Director of Human Resources - MPSL.
  • Maintain personal presentation to the hotel's standards.
  • Adhere to the team members' handbook, hotel's code of conduct, policies and procedures.
  • Ensure that all health and safety procedures are followed.

  • Diploma/Degree holder preferably majoring in Hotel/Hospitality/Tourism Management/Human Resources.
  • At least 2 years of experience in a fast-paced administrative role or Human Resources role in Hotel line.
  • Written and spoken English and Bahasa Malaysia with translation abilities to meet business needs.
  • Proficient in Microsoft Word, Excel and PowerPoint.
  • Resourceful, creative and able to maintain flexibility.
  • Positive attitude and good communication skills.
  • Commitment to delivering a high level of customer service.
  • Excellent grooming standard.
